Tips & Tricks

Customize the Sage Accpac desktop to include your own icons

Customize Sage Accpac Icons by making your own folder, or add a shortcut to Excel

You can customize the Sage Accpac desktop to suit your needs. Add new folders and items to your desktop, and rearrange existing objects. For example, you could create a new folder that contains only the applications, macros, and reports you use regularly. You could also create a startup folder that starts all applications in the folder at sign-on. Any object you add will be added to the currently-selected folder.

For example, you could add two personal folders to your desktop:

  • Put icons for all the Sage Accpac tasks you use into a folder called “My Tasks” such as Excel, EFT, Customized Crystal Reports, etc.

  • Put the icons for objects that you want started automatically when you start Sage Accpac into a folder called “Startup.”

To add new objects to the desktop

  1. Choose New from the Object menu, and then choose the type of object you are adding from the sub-menu.

  2. Type a title for the object you are adding. The title appears on the Sage Accpac desktop with the object’s icon. The icon for new macros and programs will also appear on the Sage Accpac Web desktop if you choose that option on the second screen.

  3. Choose Change Icon to select a different icon for the object.

  4. Select the All Users option so this new object will appear on the Sage Accpac desktops of all the users who open the database. (Once the object has been added to the desktop, you cannot change the All Users option.)

  5. If you are adding a folder, click Finish to add the folder to the desktop.

Tips & Tricks

Reversing Cheques is a Breeze

... no really... Reversing Cheques in Sage Accpac is a Breeze...

For those of us who have ever had to reverse a cheque in Sage Accpac Plus for DOS, we really appreciate the Bank Services module that is built into the System Manager!  There is a function in the Bank Services that allows either Payroll or Accounts Payable cheques to be easily reversed.  This function reverses the cheque and can be run at anytime during the month, including while you perform a bank reconciliation.

If you are reversing a check, and you can't find it in the list, make sure that you have posted all open batches in the subledger that pertain to the period in question.  If system security is turned on, you must be assigned to a user group authorized to reverse checks.  When the reversals are posted, the bank account balance is updated.   When you reverse a vendor payment, Bank Services sends the information back to the originating ledger so the invoice that the check was intended to pay is reinstated.

To reverse a check:

  1. Choose the bank on which the check was written.
  2. Choose Direct Mode or Select Mode for selecting checks.

If you issue a lot of checks, Direct Mode is faster. If you issue relatively few checks, use Select Mode.

Using Direct Mode lets you specify one or more checks to reverse, or lets you choose individual checks from the Finder.

  • Specify the number of the check (or check number range) in the From and To Check fields.   OR

 Or

  • Click in the columnar section of the window, and press the Insert key. Then type a check number or press the Finder button to search for the check you want to reverse.

Using Select Mode lets you scroll through a list of checks and select the ones to reverse.

  • Double-click the check you want to reverse.
  1. Select or specify the check to reverse, then change the reconciliation status to Reversed.    If you use Direct Mode, specifying the check sets the status to Reversed. To change it back to Outstanding, choose Select mode, then change the status.   The program updates the Status Change Date with the Windows system date.
  2. Tab or scroll to the Reversal Description column and enter the reason for the reversal.
  3. Reverse more checks, if necessary.
  4. Click Post when you are finished.

Sage Accpac Humor

We work in a busy office, and when a computer goes down it causes quite an inconvenience. Recently one of our computers not only crashed, it made a noise that sounded like a heart monitor. "This computer has flat-lined," a co-worker called out with mock horror...

"Does anyone here know how to do mouse-to-mouse?"

There are just three types of accountants:  Those who can count and those who can't

You know you are a computer nerd if... you know what http:// stands for!
